THE HOST’S NOTEBOOK

Questions to ask before hiring a bartender

A clear conversation now prevents confusion on the day.

Who is actually coming?

Confirm the service provider’s name, the number of staff and who is responsible for replacements. Review relevant experience and ask for references where available. An application or profile is not proof that credentials have been verified.

What do you bring, and what do I buy?

Write down responsibility for alcohol, mixers, water, ice, garnishes, cups, glassware, napkins, equipment and waste. Ask who sets up, packs down and transports equipment. Share any venue restrictions before accepting the quote.

What does the venue require?

Ask the venue for its current insurance, service, supplier and access requirements. Request the applicable provider documents. Requirements vary by location and event; website guidance is not a substitute for venue confirmation or qualified advice.

What happens if plans change?

Review deposits, cancellations, rescheduling, guest-count changes, overtime and staffing substitutions. Identify a day-of contact for both parties and an escalation path for service issues. Confirm the final total and payment recipient in writing.
