THE HOST’S NOTEBOOK

Your event bar planning checklist

Know who brings what before anyone arrives.

Before you ask for quotes

Gather the date, address, guest count, service hours, venue type and drink menu. Note any outdoor setting, stairs, elevators, security restrictions or early setup requirements.

Assign every supply

Confirm alcohol responsibility, alcohol-free choices, drinking water, ice, mixers, garnishes, cups or glassware, napkins, bar tools, storage and waste bags. Do not assume staffing includes a portable bar or rentals.

Confirm the working plan

Agree arrival and departure times, last call, breaks, extra-hour pricing and cleanup. Share the venue contact and loading instructions. Confirm whether documentation or vendor approval is needed before arrival.

Keep one final version

Send the same final event brief to the host, venue and provider. Include the accepted quote and the day-of contacts. Reconcile payments and request honest feedback after the event.
